Joining Our Virtual Meetings

Rotary Club of Wellington meetings will be virtual for the foreseeable future. 

We will be live streaming our speakers via Zoom and Facebook. 

If you need help using either of these platforms, some instructions are below, otherwise contact Rebecca for help.

Zoom

 

The best way of learning how to attend a Zoom video conference is to try it! There are two important pieces of information below, how to join a meeting and  meeting basics - how to control your camera (if you have one – not essential) and your mute button – this limits us hearing your dog barking, any background noise, and then learn how to unmute so we can hear you if you are wanting to talk! 

Join a meeting

There are a number of ways you can join a Zoom meeting.  You can use an email link, a meeting ID number or you can use your smart phone. 

Email link
  • You will get an invitation to join a Zoom meeting via an email.
  • Click on the link in the email
  • A Zoom screen will appear. 
  • Your computer may pop up a message asking you to “Run” a file, or you can click on the “Download and run Zoom”.
 Meeting ID
  • Sometimes it is easier to join using the meeting id number – this number is in the email invitation. E.g: Meeting ID: 971 581 287
  • Open your internet and go to this website:  https://zoom.us/meetings
  • Click “Join a meeting”
  • Type in the meeting ID and click JOIN
Smartphone
  • You can download the Zoom app on your phone for free – go to your App Store, and search for Zoom
  • Install the Zoom app
  • Open the app, type in the meeting id number and join the meeting from your phone – you don’t need to sign in you can just click on the “Join a meeting”

  

Meeting basics – control your video and mute button

When you are in the Zoom meeting you can turn your own video on and off, as well as the most important button - the mute button, so that background noise is limited. Some Zoom meetings will automatically put you on mute, other meetings you will need to do this yourself. If you do not mute your microphone, the rest of the meeting will hear every sniff, rustle and whisper being picked up by your microphone.

On both the PC/web and smartphone versions of Zoom, the mute and video buttons are at the bottom left of the screen. 

  • Click on the microphone icon to mute (a red line will appear through the logo indicating your microphone is muted).
  • Click again if you want to talk so that everyone can hear you (the red line through the microphone icon will disappear).
  • If you want to turn off your video, click the video recorder icon (a red line will appear through the logo indicating your video is off).
  • Click again if you want everyone to be able to see you (the red line through the video icon will disappear).

 

Facebook

 

Meetings will be live streamed on Facebook at a pre-arranged time but if you are not able to view at that time, a recording will remain on the club Facebook page for later viewing.

To watch, simply visit the Rotary Club of Wellington Facebook page.

The live stream will appear on the page just prior to the time the meeting is due to start, if you are viewing later, the video may appear slightly further down the page and will look like a regular post titled: “Rotary Club of Wellington was live”.

If you already have Facebook:

If you already have a Facebook account, search for the 'Rotary Club of Wellington' page. You will be able to watch the live meeting when it streams from here.

It is recommended that you click “Follow” on the RCW page, which will allow the RCW page posts to show on your own Facebook feed, enabling you to keep up to date with what is happening with the club. (It is also nice for us if you “Like” the page – just click the “Like” button).

To set up a Facebook account:

On your computer:
  • Go to www.facebook.com on your internet browser
  • Follow the instructions on the right of the screen to create new account
  • Once you click the "sign up" button, you will be taken to a verification step.
  • You will be prompted to verify your account via your phone or email. To finish creating your account, you need to confirm your email or mobile phone number via the email or text message that will be sent to depending on which contact method you have chosen.
  •  Once the account is set up you can alter the account settings with the prompts for Facebook or by using the tabs on the left-hand side of the page.
  • Search for the 'Rotary Club of Wellington' page. You will be able to watch the live meeting when it streams from here.

It is recommended that you click “Follow” on the RCW page, which will allow the RCW page posts to show on your own Facebook feed, enabling you to keep up to date with what is happening with the club. (It is also nice for us if you “Like” the page – just click the “Like” button).

On your phone:

It is best to set up a Facebook account firstly via your PC/computer and then once that occurs you can download Facebook on your App Store and use the same security settings.
If you want to set it up via your phone only:

  • Go to your app store and search for the Facebook app
  • Install the Facebook app
  • Click on the Facebook app once it is downloaded and sign up using the instructions similar to the above.
